Job Description For Confidential Jobs
FUNCTIONS:
1. Administrative:
- Scheduling meetings and visits for the management – internal and external
- Coordination with other departments for execution of jobs and financial matter
- Logistics support for transportation, delivery, ship visits and inspections
- Arrange office stationery and other supplies
- General maintenance of office
2.Communication
- Attending incoming calls
- General email communication
- Written and email communication with vessels
3.Documentation
- Record keeping of safety management system
- Preparing templates and document formats
REQUIRED QUALIFICATIONS AND SKILLS
- A degree in any stream from a reputed institute
- Word processing skills- MS Office
- Good communication skills- oral and written
- At least 2 years’ experience in similar position
- Desirable
- Experience of working in shipping companies
- Experience /awareness of ISO Quality Management system
- Candidates on their own visa sponsorship preferred
•Assist Flag renewal and obtaining all the vessels relevant licenses, schedule of vessel certification updates records as required.
•Arrange and maintain record of Vessels Noon Reports, port clearances,
·Arrange gate passes Etc. thru agents
•Coordinate with Vessel Agents on shipment arrival and vessel ETA/ETD as well as garbage Disposal, fresh water arrangements / if any certificates like, medical chest/ drug n alcohol/ Sanitization etc.
•Coordinate with Operations team for Bunker Supply arrangements/ Cargo Documents for vessel etc.
•Coordinate with vessel for arranging CTM/ Certificates and stamps etc.
•Follow up with masters for Updated Certificate List and Share Updated Class status and Q88 to Vessels.
•Liaise with accounts for arranging payment of Class/flag and PDA/FDA Agency Charges.
• Assist Operation Manager for arranging Vessel Manuals and documents required as per Flag and Class.
•Coordinate with office driver for collection of documents and delivery of items to vessel or Agents.
•Answer phones, emails, conduct basic clerical work and Order office supplies.
